Qualifications:
Reporting to the Production Director, this position requires a strong background in ad agency traffic management. Sound production knowledge is also essential. Superior verbal, written and computer skills is a plus — as is some experience using advertising traffic software such as Advantage, seen here:
You’ll need to be very organized, exhibit a strong attention to detail and be a team player. This role requires print production experience in traditional ads, digital ads, email production, signage, POP, collateral and direct mail. An understanding of pre-press electronics, printing processes and finishing is a plus. Preparation of estimates and workflow schedules, in additional to coordinating production, both in-house and with suppliers, is necessary.
Objectives:
- The primary objective of this position is to daily maintain the agency traffic system.
- Track and communicate status of jobs internally.
- To maintain the agency’s high standard of creative excellence in the concept and execution of all collateral materials.
- To ensure all projects are produced within established budgets and schedules.
Key Traffic Responsibilities:
Project Management
- Open incoming job orders and provide creative and production with all necessary information
- Work directly with Creative, Production teams to track all open requests
- Prepare weekly traffic reports
- Conduct weekly traffic meetings
- Gain Account Team approvals and process communications back through internal systems
- Issue Closed Job orders and check billing folders and present to AE for approval
- Monitor and maintain traffic system daily
- Coordinate with all departments in developing job schedules
- Prepare and update daily traffic tasks and alerts
- Monitor job progress so that all assignments are completed on time
- Ensure all materials are shipped out and received by media on time
Client communications
- As requested, contact Client for updates and to gain approvals
- Vendor communications
- Prepare materials and transmit to vendors
- Confirm deliveries
- Maintain vendor contact and specification files
- Maintain accuracy of budgets and supporting data
- Alert Account Team when changes are made that effect the budget
- Maintain accurate time records of time spent on assigned work
Key Production Responsibilities:
- Prepare estimates for print production jobs
- Prepare detailed job specification after consulting with account service, copywriters, and art directors
- See that all jobs are produced to be the best possible quality at the best possible cost, on time to meet client and publication needs
- Be fully acquainted with budget requirements on each job
- Maintain accuracy of budgets and supporting data.
- Develop accurate and detailed job schedules
- Alert Account Manager and Creative Director when changes are made that effect the budget
- Maintain accurate time records of time spent on assigned work
- Supervise job production
- Attend press checks as required to ensure the best quality product for the client
- Coordinate job progress in all manufacturing stages to ensure on-time and quality delivery
- Maintain accurate time records of time spent on assigned work
Vendor relations (as needed)
- Negotiate best price/value and issue purchase orders for all outside work
- Gain respect of suppliers by dealing with them honestly, fairly and firmly.
- Expand vendor pool to allow for a professionally competitive environment.
- Require vendors’ participation in the planning stages to ensure specs are within allowable tolerances.
- Maintain vendor contact and specification files
